Information on data protection “International Summer Campus”

This website provides information about the collection, processing and use of your personal data by the University of Potsdam and your rights in the context of offers and services regarding the International Summer Campus, provided by the International Office of the University of Potsdam.

We process your personal data in compliance with the applicable data protection regulations, in particular the EU General Data Protection Regulation (GDPR) and the Brandenburg Data Protection Act (BbgDSG).

Types of data processed:

  • Master data (e.g. first name, last name, suffixes, date of birth, sex, nationality),
  • Contact data (e.g. private address, telephone number, cell phone number, e-mail address),
  • Academic data (e.g. degree program, home institution, academic level, earlier stays abroad),
  • Information regarding your studies (such as degree program, home institution, earlier stays abroad),
  • Skills data (e.g. language level, special knowledge and abilities),
  • Additional data from application materials (e.g. certificates, final records, letters of recommendation, references).

Personal data is fundamentally collected directly from you for the purpose of the application and selection procedure for programs and courses offered as part of the "International Summer Campus". In addition, personal data, if applicable, shall be gathered from partner institutions.

Purpose of the processing

Data processing serves the implementation of your chosen program within the framework of the „International Summer Campus“, from the application process to completion.

Lawfulness of processing

The legal basis for data processing is your consent to the processing of personal data (Art. 6 para. 1 sentence 1 lit. a GDPR in conjunction with § 14 para. 9 BbgDSG). Accordingly, higher education institutions located in the federal state of Brandenburg are allowed to process data of external users who participate in academic courses or utilize university facilities.

Recipients of your data

Your data will only be transmitted to persons and offices of the University of Potsdam which are responsible for the implementation of your chosen program or the processing of your payment (e.g. Division 2: Student Affairs, Division 4: Finance and Procurement). In the event of financial support being offered, personal data will be transmitted to our bank. Third parties such as scholarship providers (e.g. German Academic Exchange Service DAAD) shall receive personal data insofar as this is relevant to the processing of the scholarship. For students participating in a „Tailor Made Program“, final grades and certificates will be transmitted to the respective partner institution.

Duration of data processing

In the event of participation in a chosen program within the framework of the „International Summer Campus“ and, if applicable, in conjunction with monetary support, the collected data is saved. Upon completion of the chosen program, data storage will continue for those personal data that the University of Potsdam is legally obligated to preserve (e.g. financial information, grades, certificates). It may occur that personal data will be retained for a certain amount of time during which the University of Potsdam may have to defend itself against the assertion of claims (legal retention period from three to thirty years). In the event of a cancellation by the participant, application materials, including the e-mail address, shall be erased once the purpose of data processing no longer exists, at the latest within one year, insofar as no legal obligation exists for long-term retention.

Your rights

You have the right to obtain from the controller confirmation as to whether or not your personal data is being processed, and, if that is the case, access to the personal data and additional information (right of access).

You also have the right to obtain from the controller without undue delay the rectification of inaccurate personal data. If the legal requirements of Art. 17 or 18 GDPR are met, you are entitled to the erasure of your personal data or to a restriction of processing. Please note that restricted processing of the data may not be possible in every instance. You have the right to receive your personal data in a structured, standard and machine-readable format or to request the transfer to another controller (right to data portability, Art. 20 GDPR). Furthermore, you may object to the processing of your personal data under the conditions set forth in Art. 21 GDPR.
